1. Booking & deposits
A booking is confirmed when we receive your deposit of 25% of the total trip price. The balance is due 60 days before departure. For bookings made within 60 days of departure, full payment is due at booking. Payments are processed securely via Onvo Pay; prices are quoted and charged in US dollars unless agreed otherwise.
2. Prices & what’s included
Each journey is priced individually and confirmed in your written proposal, which sets out exactly what is included and excluded. Prices are held for 14 days from the proposal date and are subject to availability until your deposit is received. Items not listed as included — typically international flights, some meals, gratuities, personal expenses, and travel insurance — are your responsibility.
3. Changes you request
We’ll do our best to accommodate changes after booking, subject to availability and supplier costs. Significant changes may be treated as a cancellation and re-booking (Section 5).
4. Changes or cancellation by us
We rarely cancel a confirmed journey. If events beyond our control (Section 11) require it, we’ll offer a comparable alternative, a date change, or a refund of recoverable costs. We are not liable for incidental expenses you incur, such as flights — which is why we require travel insurance.
5. Cancellation by you
Because private journeys commit supplier costs ahead of travel, the following applies from the date we receive written notice:
- 60+ days before departure: deposit (25%) retained; any balance paid is refunded.
- 45–59 days: 50% of total trip price retained.
- 30–44 days: 75% of total trip price retained.
- Fewer than 30 days, or no-show: 100% retained.
We strongly recommend comprehensive travel insurance to protect against these charges.
6. Travel insurance — required
Comprehensive travel insurance is a condition of travel. It should cover, at minimum, trip cancellation and interruption, medical expenses and emergency evacuation, and your chosen activities (including adventure activities such as rafting, ziplining and hiking). You travel uninsured at your own risk.
7. Health, fitness & participation
Our journeys include active and adventure experiences. You confirm everyone in your party is in suitable health to participate and will disclose any medical condition, injury, pregnancy, dietary need or limitation in advance. Guides may decline participation in any activity on reasonable safety grounds.
8. Activities & assumption of risk
Adventure and nature activities carry inherent risks that cannot be fully eliminated. Participation requires each traveler (or a parent/guardian for minors) to agree to our Liability Waiver.
9. Our responsibility
We act as organizer and coordinator of your journey, arranging accommodations, transport, guides and experiences. We select suppliers with care, but where third parties provide services, their own terms and responsibility apply. To the fullest extent permitted by Costa Rican law, our liability is limited to the total price of your journey, and we are not liable for indirect or consequential loss. Nothing limits liability that cannot lawfully be limited.
10. Conduct
Travelers are expected to follow guide instructions and local laws and to respect the communities, wildlife and places we visit. We may end participation, without refund, where conduct endangers safety or seriously disrupts others.
11. Force majeure
We are not liable for failure or delay caused by events beyond our reasonable control, including natural events, weather, volcanic or seismic activity, road or park closures, strikes, illness or epidemic, government action, or transport disruption.
12. Complaints
Tell your guide or contact us immediately so we can address issues during your trip. Any unresolved complaint should be sent in writing to hello@offthegridexperiences.comwithin 30 days of your journey’s end.
13. Privacy & data
We handle your personal information per our Privacy Policy and Costa Rican data-protection law.
14. Governing law
These terms are governed by the laws of the Republic of Costa Rica, subject to its courts.
